Under supervision of the Senior Vice President of Human Resources and Talent Management, the Human Resources Benefits Administrator will lead the functional and administrative duties of the benefits administration process in the Human Resources Department.  The Benefits Administrator is responsible for the implementation, administration and communication of all benefit programs/policies/procedures and will collaborate closely with the internal Legal and Payroll departments.
KEY ESSENTIAL FUNCTIONS:                                                                                                                           
  • Responsible for administration of the organization's various employee benefits programs, including medical, dental, vision, life insurance flexible spending accounts, retirement, and voluntary benefits.
  • Responsible for management and compliance including but not limited to ERISA, HIPAA, COBRA, and ACA.
  • Ensure regulatory and legal compliance by working with consultants, actuary, 401(k) vendor and outside counsel on required federal and state disclosures and notices. 
  • Manage benefit enrollments and changes, troubleshooting eligibility issues, and responding to daily inquiries from employees.
  • Partner with brokers, carriers, and vendors to ensure compliance with benefits plan requirements.
  • Serve as a liaison for employees where needed, between various benefit vendors on enrollment and claims issues.
  • Analyze the enrollments of employees in health, dental, life, disability, and vision benefits in ADP system to ensure compliance with plan documents, guidelines, and policies.
  • Prepare, audit, and ensure payment of vendor invoices and self-billed insurance payments.
  • Reconcile billing and claims information from vendors. Review billing and enrollment discrepancies between carriers and customers for resolution. Ensures timely and accurate processing of payments to benefit vendors.
  • Ensure all timeframes and deadlines are met regarding benefit renewals, new group implementations, enrollments, and changes.
  • Assist in the development of and revision in benefits related procedures, policies, and forms to facilitate the administration of the benefit plans.
  • Responsible for annual Open Enrollment process which includes the development and execution of online benefits enrollment, finalizing the renewal and documentation with brokers/vendors, coordinating informational meetings and the creation and distribution of communication materials
  • Facilitate annual benefits renewals: Plan, implement, and conduct open enrollment meetings
  • Troubleshoot issues, run reports, audit deductions, resolve claims inquiries, and communicate with carriers as needed.
  • Facilitates Benefit presentation during monthly New Employee Orientation (NEO).
  • Responsible for ACA Administration and Compliance: determining measurement periods, tracking hours, and defining benefit eligibility. 
  • Assisting with Affordable Care Act governance, assisting with Form 1095Cs and items related to compliance obligations.
  • Coordinate health and wellness seminars and initiatives, recognition events, retirement information sessions, etc. to enhance the work environment.
  • Consistent and timely management of the benefits email Inbox and voicemail inbox to ensure timely response to employee inquires or concerns.
  • Respond to routine inquiries regarding benefits eligibility and deductions from employees 
  • Audit COBRA enrollments, transit reports, and similar benefit detail reports monthly.
  • Administer 401K paperwork, withdrawal, and funding administration for all savings platforms.
  • 2+ years previous relevant experience in Human Resources Healthcare Industry experience preferred.
  • Associates Degree required. 
  • Bachelor's Degree in Human Resources Management, Organizational Development, Business Management or an equivalent related field preferred.
  • SHRM-CP or SHRM-SCP and CEBS professional designations preferred.
  • Demonstrated working knowledge of employee benefits, laws and regulations.
  • Experience with medical/dental/life insurance enrollment and administration.
  • Knowledge of local, state and federal labor laws.
  • Ability to use business acumen to exercise good judgment and decision-making.
  • Ability to deal with sensitive issues with diplomacy and discretion.
  • Must be able to multi-task with strong organizational skills.
  • Ability to work independently and show initiative in completing assigned tasks.
  • Thorough knowledge of MS Office Suite, including high proficiency in Excel and ADP Workforce Now. 
  • Expertise with online benefits enrollment administration.
  • Excellent interpersonal skills and able to communicate both verbally and in written form.
