Under supervision of the VP of Real Estate Management & Tenant Services, the Executive Assistant provides high-level administrative and executive support and serves as the primary point of contact on all matters related to the office of the VP of Real Estate Management & Tenant Services. The Executive Assistant will complete a broad variety of administrative and organizational tasks for the Real Estate & Tenant Services. The Executive Assistant reports to the VP of Real Estate Management & Tenant Services ensuring coordination, communication, deliverables, reports, scheduling, and all assigned tasks are delivered to the expectation of the Acacia Network mission and values set forth by the organization.

The salary range is $50-65K

Under supervision of the VP of Real Estate Management & Tenant Services , the requirements listed below represent the knowledge, skill, and/or ability required.   • · Completes a broad variety of administrative tasks for the VP of Real Estate Management & Tenant Services including: managing an extremely active calendar of appointments; completing reports; composing and preparing correspondence; itineraries, and agendas; and compiling documents for meetings.
  • · Plans, coordinates and ensures the VP of Real Estate Management & Tenant Services schedule is followed and respected. Provides "gatekeeper" and "gateway" role.
  • · Communicates directly, and on behalf of the VP of Real Estate Management & Tenant Services , with Board members, program leaders, and others, on matters related to the VP of Real Estate Management & Tenant Services programmatic initiatives.
  • · Researches, prioritizes, monitors, and follows up on incoming issues and concerns addressed to the VP of Real Estate Management & Tenant Services , including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • · Oversees timekeeping responsibilities for senior management team.
  • · Provides a bridge for smooth communication between the VP of Behavioral Health Services' office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • · Works closely and effectively with the VP of Real Estate Management & Tenant Services to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
  • · Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the VP of Real Estate Management & Tenant Services , some of which may have organizational impact.
  • · Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • · Completes and distributes meeting minutes to appropriate staff members.
  • · Provides direct supervision to program administrative staff.
  • · Manages, oversees, reconciles and submits check requests and order supply inventories for the behavioral health division.
  • · Oversees the staff patterns and vacancies of the real estate programs, including but not limited to processing employee status change forms & ensuring adherence to staffing patterns as per state and agency requirements.
  • · Performs other related duties as required

  • 3+ years previous relevant experience in Administration required.
  • · High School Diploma required, BA preferred.
  • Experience in Real Estate and Tenant Services Required
  • · Must be team oriented and possess a positive attitude with a willingness to be flexible and helpful.
  • · Must be able to multi-task with strong organizational skills.
  • · Excellent interpersonal skills and able to communicate both verbally and in written form.
