The Administrative Assistant serves as a key administrative and office support to the Director of Re-Entry and Training at Greenhope Services for Women. The Jail-Based program provides services to women on Riker's Island in preparation for re-entry into their community and supports and services to sustain a healthy and independent life. While the Director and key staff provide operations on Riker's Island, the Administrative Assistant will provide support at the home base of Greenhope and act as a representative for the Jail Based program while employees are on Riker's Island.  The salary is $45-55,000/Year
KEY ESSENTIAL FUNCTIONS:                                                                                                                   
  • Maintains incoming and outgoing calls on behalf of the Jail-Based Program, drafts memos, e-mails, and maintains spreadsheets and related data for Director.  Supports director with basic payroll and timekeeping functions for employees of the Jail-Based program.
  • Assist Data Analyst in data collection and record keeping
  • Completes office management related duties for the department including supply orders and invoice payments. 
  • Works in conjunction with Director to complete, submit, and attain necessary signatures/approvals for human resources documentation (new hire paperwork, personnel record changes, etc.).
  • Plans, coordinates, and executes special events for the Jail-Based program, including graduation.
  • Liaises with independent contractors/consultants for the Jail-Based program to coordinate activities, log hours, and complete invoicing for services.
  • Participate in team meeting, takes notes, and distributes minutes.
  • Other duties as assigned by supervisor.                    
  • High School Diploma + 3 years of related administrative experience. 
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Previous experience with managing duties in a non-profit organization 
  • Demonstrated ability to work with individuals with criminal justice issues who may have co-occurring disorders of substance use and mental health.  
  • Excellent organizational and communication skills. Ability to multitask, work independently and to work and function under pressure.
  • Ability to work on team of professionals in a culturally diverse environment 
  • Bilingual - Spanish and English preferred
