THE ROLE
In this position you'll report into the COS team by assisting them and other senior executives within the organization. This role is fast paced and requires a can-do, get-it-done yesterday attitude. As an EA you are critical to the success of the company by ensuring our executive team fully realizes their strategic potential.
You'll be their secret weapon for success, managing responsibilities in areas such as; daily communications and logistics, sitting alongside executives in meetings taking notes, tasking responsibilities and sending out follow up emails, assisting with hiring for multiple businesses within our portfolio, drafting documents and presentations, creating and managing RFPs and project managing small to large scale projects throughout the business.
Acting as a gatekeeper, project manager and problem solver, you will keep the executives organized, boost morale and increase productivity. Your ability to learn quickly and work autonomously will be key to your success. You will use your exceptional organizational skills prioritizing and juggling between company and personal tasks using your judgement to prioritize what needs immediate attention. Your expertise enables you to troubleshoot issues before they happen and bring sound solutions to various problems as they arise.

CORE RESPONSIBILITIES
Expanding the executive team's strategic capacity - you'll always be a few steps ahead of the curve, ensuring everyone's time is being spent on the highest priority needs. You'll make sure you're aligned so that commitments don't get dropped, relationships are built and strengthened, and capacity is increased with ease
Assisting with Talent responsibilities - you'll be a support in our hiring process by writing up job descriptions, posting jobs, interviewing, hiring and contract prep
Vendor management - reaching out to various vendors for all housekeeping requirements as well as relationship management and upkeep of deliverables
Project management -
Be trusted to take on special projects as needed, which may span different areas of the business-from projects focusing on operations and logistics to leadership development and international growth
Issuing requests for proposals (RFP) to consultants and contractors based on existing templates on file and updating them with the relevant data with input from the PM as needed.
Assisting various project leads with ensuring their projects push forward, including but not limited to, having team members submit project plans, Gantts and budgets and checking in to ensure they stay on track with the required deliverables
Putting your exceptional communication skills to use by managing the Director of Operations calls and messages, drafting letters and documents, initiating communications, preparing for meetings, and ensuring that everyone has the key information they need to succeed
Supporting and executing tasks in a fast-paced, deadline-driven environment - providing general support as needed on an ongoing basis.
Putting together budgets, approving contractor invoices, and ensuring payments are kept up to date
Miscellaneous administrative tasks as required
REQUIREMENTS
Minimum of 3 years' experience in a senior administrative capacity
Minimum 2 years' experience helping lead and manage projects from start to finish with little to no supervision
Experience Working in Family office setting and Supporting UHNWI
Ability to pivot quickly and stay calm under pressure in a fast paced, high growth, and chaotic environment (We're looking forward to you creating some structure so it's less chaotic as we grow.)
You are a step ahead of everyone else, you're pushing them to move forward rather than them pushing you. You take something and run with it, you're one of those people who most can't comprehend how you keep everything moving forward in parallel.
Due to the fast-paced nature of the company, check-ins will be minimal. You'll be required to run with tasks with limited direction, knowing when you've got it and when you need an extra set of eyes

Superb calendar management, scheduling, travel coordination, O365 tools, ChatGPT, ect
Excellent verbal and written communication skills to assist writing and proof-reading documents and communications with our teams.
Expert proficiency in Adobe, Word, Excel (including formulas), PowerPoint and Microsoft Exchange/MS Outlook
Negotiate and developing positive relationships with vendors and third-party consultants
Experience supporting a globally distributed team
Highly motivated and takes initiative to solve issues

COMPENSATION
An aggressive base salary will be provided in this position, with an additional lucrative bonus plan based on performance. Full medical benefits are provided. Options/equity will be provided to suitable candidates after completion of the first 90 days.
