Administrative Assistant

Location: Near Albany, NY
 Pay Rate: $25 – $28 per hour
 Employment Type: Temporary | Full-Time

Position Overview

Our healthcare-focused client is seeking a reliable and detail-oriented Administrative Assistant to provide temporary support to its nursing leadership team. This role plays a key part in keeping daily administrative operations running smoothly while ensuring accuracy, confidentiality, and compliance in a regulated environment.

The ideal candidate is organized, professional, and comfortable handling sensitive information while juggling multiple priorities.

Key Responsibilities

  • Serve as the primary point of contact for the department, answering inquiries or directing them appropriately
  • Prepare correspondence, memos, reports, and meeting materials as requested
  • Coordinate and track required documentation from medical leadership
  • Verify and maintain employee certifications, licenses, and renewal records
  • Maintain electronic policies, procedures, and standards of care with proper indexing and archiving
  • Manage and archive medical and departmental records in compliance with privacy regulations
  • Maintain employee health records and coordinate required appointments, immunizations, and testing
  • Order office supplies, manage consultant schedules, and support visiting providers
  • Provide backup support for timekeeping and payroll functions as needed
  • Ensure professional conduct, attendance standards, and positive communication with staff and stakeholders
  • Assist with additional administrative and clerical duties as assigned

 
Aptitudes Requises

 

Qualifications

  • High school diploma or GED required; associate degree in business preferred
  • 3–5 years of administrative or secretarial experience
  • Strong communication, organizational, and multitasking skills
  • Proficiency with Microsoft Word, Excel, and PowerPoint
  • Experience with timekeeping or payroll systems preferred
  • High attention to detail with the ability to handle confidential information
  • Professional demeanor with a collaborative, team-oriented approach
