Our well-established client in the industrial services sector is seeking a highly organized and proactive Office Manager to support field operations and technician coordination. This is a full-time, on-site role located near East Greenbush, NY.

 

Responsibilities of the Office Manager will include:

  • Coordinate and schedule comprehensive annual training programs for field technicians, including product knowledge, safety protocols, and customer-specific site requirements.
  • Lead training sessions covering laptops, Microsoft Office tools, proprietary software, and essential industry applications.
  • Create and implement standardized operating procedures (SOPs) to improve workflow efficiency and consistency across departments.
  • Oversee day-to-day operations for a service fleet, managing maintenance schedules, operational costs, and regulatory compliance.
  • Manage all aspects of a rental division, from quoting and logistics to service coordination and contract conclusion.
  • Administer purchase order processes in line with work orders, including tracking returns, billing accuracy, and inventory reconciliation.
  • Review and record weekly technician service hours to ensure proper billing and payroll processing in accordance with policy and deadlines.
  • Prepare tailored annual contracts for preventative maintenance services based on specific customer sites and equipment needs.
  • Maintain comprehensive and organized digital records, including service reports, equipment data, site images, and combustion recordings.

 
Job Requirements

 

Qualifications of the Office Manager:

  • Strong administrative and organizational skills with demonstrated experience supporting field service teams.
  • Proficiency with Microsoft Office Suite and experience training others on software applications.
  • Solid understanding of fleet management and inventory/purchasing processes.
  • Excellent communication and problem-solving abilities.
  • Prior experience in technical service, facilities, or industrial operations is a plus.

 

Pay for this position is commensurate with experience and education, ranging roughly from $50,000 - $65,000.
