The Shipping Coordinator position ensures that products are packaged, labeled, and shipped accurately and on time to meet customer requirements. This role exists to manage logistics, coordinate with carriers, maintain shipping records, and support inventory control—ultimately ensuring efficient delivery operations and contributing to overall customer satisfaction and supply chain performance.

Coordinate Shipments
  • Schedule and organize outgoing shipments both international and domestic based on production schedules and customer orders.
  • Select appropriate carriers and shipping methods to meet deadlines and cost targets.
Prepare Shipping Documentation
  • Generate packing lists, bills of lading, shipping labels, and export documents as needed.
  • Ensure documentation complies with legal and company requirements both internationally and domestic.
Inventory and Order Management
  • Collaborate with warehouse and production teams to verify order accuracy and inventory levels before shipping.
  • Update inventory systems to reflect shipped goods.
Carrier Communication and Tracking
  • Liaise with freight carriers to arrange pickups, resolve delays, and monitor shipment progress.
  • Track and trace shipments to ensure timely delivery and communicate status to relevant departments or customers.

 
Job Requirements

 

  • Logistics & Shipping Knowledge
    1. Understanding of shipping methods (LTL, FTL, air, ocean, etc.)
    2. Familiarity with freight carriers and delivery processes
    3. Knowledge of import/export regulations and customs documentation, especially U.S. Export Administration Regulations Guide and Export Commodity Classifications Schedule B guide 
  • Inventory & Warehouse Systems
    1. Experience using ERP systems for managing shipments and inventory
    2. Familiarity with Warehouse Management Systems (WMS) and barcode scanning tools
  • Documentation & Compliance
    1. Ability to prepare and review:
      • Bills of lading (BOL)
      • Packing lists
      • Shipping labels
      • Export documentation
      • Letters of Credit 
      • Knowledge of regulatory compliance (e.g., DOT, OSHA, hazardous materials handling)
  • Computer & Software Proficiency
    1. Proficient in:
      • Microsoft Excel and Word (for logs, reports, documentation)
      • Shipping platforms (e.g., FedEx Ship Manager, UPS WorldShip, freight portals)
      • Email and communication tools for coordinating with vendors and internal teams
